We delivered a high-energy, Alpine-themed racing experience for the Wingman charity golf tournament, held in aid of the Matt Hampson Foundation at Forest Hill Golf Club, Leicester. To align with the event’s unique "ski fancy dress" theme - headlined by special guest Eddie the Eagle - we installed a bespoke winter rally track featuring snow-capped mountains and ice tunnels. Operating as the evening's central entertainment hub from 6pm to 10pm, the setup provided a competitive "Après-ski" activity for spectators and players who had finished their rounds, keeping the atmosphere electric.
Summary
The activation was a seamless fit for the night’s festivities, perfectly mirroring the enthusiastic mood of the guests. Our snowy scenic track became an instant focal point, drawing in crowds in full ski gear to compete for the "fastest lap" title. By providing high-octane entertainment for those off the golf simulators, we ensured engagement levels remained high throughout the evening. The installation not only met the visual brief but amplified the fundraising spirit, proving that a racing track is the perfect partner for a party atmosphere.
Challenge
Remote Access Logistics: Although we secured vehicle access to the rear of the venue, the route to the function room involved a significant manual haul. We had to transport delicate scenic mountains and heavy track sections over a long distance without disrupting the club’s operations.
Spatial Constraints: Upon arrival at the trophy room, it became clear that the designated footprint was smaller than the client had anticipated relative to our expanded scenic layout.
Live Event Environment: With the golf tournament already underway and guests arriving in costume, the setup had to be executed rapidly and discreetly to be race-ready for the 6pm start.
Solutions
Rapid Reconfiguration: We immediately liaised with venue staff to clear additional furniture and re-optimise the room layout. This allowed us to install the full-sized Alpine track without compromising guest flow or blocking access to the bar and seating areas.
Modular Transport Strategy: Utilising our specialist dollies and handling equipment, we efficiently shuttled the kit from the distant loading area, ensuring a safe and timely build despite the long walk.
Thematic Integration: By ensuring the track scenery (snow tunnels and mountains) perfectly matched the "Eddie the Eagle" theme, the larger installation felt like a deliberate, premium centrepiece rather than an obstruction, instantly winning over the crowd.
